A : Emails are saved by default as regular .msg files which can be opened by Outlook. Emails saved into folders with other documents are easy to backup/restore and no special software would be required to read the emails which could be dragged back into Outlook should a user chose to do so.

By popular request we have now added the ability to file emails in Outlook folders and Outlook sub folders. Simply enable the option in settings to ‘Enable Outlook folder filing’ and when you next go to select a location just start typing in the filter box to reveal possible Outlook destination folders. FileChimp will learn your filing habits and automatically recommend the best filing location for future email archiving.

Add tags to emails

We have added tags to enable you to save your emails with relevant custom tags. First enable ‘user tags’ in FileChimp settings. Once enabled you will be prompted each time you file an email and offered the opportunity to add tags. These tags will be added into the Tags attribute of the file (can be seen in windows explorer by enabling the tags column), and they can also be used in the file name template if this is required.

Email filing for Accountants

We have added some new filters to our FileChimp mail router to make easy work of filing emails into client folders. Emails can be processed automatically by FileChimp to match destination folders on the network based on the clients email address. Simply install FileChimp, create sub folders using your clients email addresses and create a single rule to process all incoming and sent items.

Every email that is processed by the FileChimp Outlook addin has additional data added to the file attributes. We use the this data to automatically file the emails into client folders on the network. We can do this using by matching email addresses in the file name or by using the ‘comments’ file attribute (we save sender and recipient email addresses in this file attribute for every email.

The best approach to file emails from Outlook must be a combined method of automatic and manual email filing. We appreciate not all email filing can be automated. Emails may not contain client names or project numbers on all incoming emails so we have added a manual filing option. Select single or multiple emails and select the network folder you wish to save them to. Save emails in batches or bulk save emails from folders. Each email saved into the network folder is saved with the correct author and date information as expected so finding and sharing those emails is easy.

By saving emails automatically the bulk of your emails are safe. Consider the time saved filing emails (no clicks!). Manually file only those emails which have not already been saved to the network.

You can easily see which emails have already been saved by the mark we place against previously filed messages.

FileChimp makes it easy to archive emails into network folders giving the flexibility to automatically or manually file emails, or use a combination of both methods to reduce mailbox sizes and share emails.

I guess you have found us as you are looking for an easy way to organise your files. We were searching for a better way to file emails, organise download folders, move files into sub folders and generally avoiding the need to navigate through many levels of sub folders.
